We are looking for someone, who will support vendor qualification and supplier portal management, as well as the preparation and management of public and/or private tenders for our Tender Office located in Milan. The role will work closely with the Tender Team and internal departments, contributing to daily operations and gradually developing skills in tender procedures and compliance documentation.
Duties and Responsibilities
Registration on supplier portals, completion, maintenance and renewal of qualification processes, including the upload of all required documentation and completion of company data.
Completion of ESG sustainability questionnaires on dedicated platforms
Update of corporate, administrative and compliance documentation. Monitoring of deadlines, renewal requests and document updates
Verification of accuracy and completeness of uploaded information
Coordination with internal departments (Technical, HR, Finance, HSE, Quality, Legal) and external consultants, as required, to collect the necessary documents and information.
Monitoring of tenders, notices and expressions of interest on telematic platforms and official channels.
Analysis of specifications and tender documentation in order to identify the technical, economic and legal requirements. (ESPD/DGUE, declarations, annexes, forms, powers of attorney, PASSOE where required, certificates, etc) end verifying compliance
Preparation of administrative, economic and technical documentation in accordance with the specifications required by the tenders.
Collection and update of corporate documents in coordination with internal departments, banks and external consultants (Bid/Performance bond included).
Knowledge of ANAC portal to generate CIG contributions and FVOE maintenance
Management of e-procurement telematic platforms for participation in tenders
Checking the formal and substantive compliance of bids before submission (in cooperation with Sales/Technical team), ensuring that deadlines are met.
Management of requests for clarification, communications and additions with the contracting authorities.
Archiving and traceability of tender documentation in accordance with company procedures.
Post-tender follow-up and support, such as analysis and reporting for performance evaluation and improvement of participation processes.
Support in the award and contracting phase: preparation of the documents and declarations to finalize the award of the tender, up to the signature of the contract, including verification of requirements and collection of certifications (DURC, certificates, bank references, performance and/or extra bonds, etc.).
Collection of signed antimafia declarations.
Maintenance of a structured and up‑to‑date document database
Requirements
High school diploma or equivalent experience
At least 4 years of experience in a Tender Office for tender preparation and qualification procedures
Basic knowledge of the Italian Public Procurement Code - Codice degli Appalti (D.Lgs. n. 36/2023)
Familiarity with e‑procurement or supplier qualification platforms
Interest in tender procedures and vendor qualification activities
Accuracy, reliability and organizational skills
Ability to manage multiple tasks and deadlines
Basic familiarity with digital signatures and certified email (PEC)
Fluency in Italian and English is a must.
