- Track CDL, medical card, and MVR renewals to ensure all records remain current
- Oversee and review daily vehicle inspection reports (DVIRs) for accuracy and completion
- Monitor and manage hours-of-service (HOS) and electronic logging device (ELD) compliance
- Coordinate vehicle registration, permits, trip permits, and BIT inspection schedules
- Handle CHP inspections, citations, and correction processes
- Maintain fleet files, insurance documents, and equipment records
- Partner with insurance brokers on renewals, Certificates of Insurance (COIs), driver additions or removals, and claims
- Manage Workers’ Compensation incident reporting and documentation
- Ensure accurate IFTA reporting and fuel card tracking
- Develop, track, and maintain spreadsheets and digital systems for compliance reporting and audit readiness
- Lead regular safety audits, corrective action plans, and fleet safety training
- Collaborate with operations and finance teams to ensure alignment on safety and compliance practices
What We’re Looking For:
- 7–10 years of experience in fleet safety and DOT compliance management within trucking or logistics
- Deep understanding of DOT, FMCSA, and CHP regulations, audit procedures, and documentation standards
- Proven success managing compliance programs for large, active fleets across multiple states
- Experience with DQFs, vehicle files, DVIRs, ELD platforms (Samsara preferred), and Clearinghouse programs
- Proficiency in Microsoft Excel and Word for tracking, reporting, and document management
- Highly organized and detail-oriented with strong problem-solving skills
- Excellent communication skills and ability to work cross-functionally in a fast-paced environment
- Valid driver’s license with the ability to visit terminals or field sites as needed
Preferred Experience:
- Bachelor’s degree in a related field
