About The Role:

The Finance and Payroll Specialist plays a central role in keeping Nevoya’s financial operations accurate, organized, and running smoothly. You’ll manage payroll for both staff and drivers, oversee accounts payable and receivable, and support day-to-day financial coordination across multiple entities.

This role requires strong attention to detail, a working knowledge of accounting and payroll systems, and the ability to operate in a fast-moving startup environment. You’ll work closely with the HR, Operations, and external bookkeeping teams to ensure every transaction—from paychecks to invoices—is processed correctly, documented, and compliant.

What You’ll Do:

Payroll Management:

  • Process payrolls across Gusto (LLC) and Rippling (Inc), ensuring timely and accurate payments for both salaried and hourly staff and drivers.

  • Manage bonuses, reimbursements, and deductions (e.g., equipment, per diem, or fuel reimbursements).

  • Support compliance with multi-state payroll and employment tax regulations.

  • Coordinate with HR to ensure new hires, terminations, and pay changes are properly updated in payroll systems.

Accounts Payable (A/P):

  • Process vendor invoices, manage payment schedules, and ensure all bills are approved and paid on time.

  • Track and categorize expenses across Brex, Chase, and other company accounts.

  • Maintain up-to-date vendor records, including W9s and insurance documentation.

Accounts Receivable (A/R):

  • Support client invoicing, monitor incoming payments, and reconcile transactions.

  • Identify and resolve payment discrepancies in collaboration with the Account Management and Operations teams.

Financial Coordination & Reporting:

  • Partner with an external accounting firm (Kruze Consulting) to provide monthly reports, reconciliations, and transaction data.

  • Maintain financial records for audits, taxes, and compliance filings.

  • Track recurring costs and recommend process or tool improvements to enhance financial visibility.

Systems Administration:

  • Maintain integrations across Gusto, Rippling, Brex, Carta, and QuickBooks Online.

  • Help standardize and document finance-related SOPs for scale.

What We’re Looking For:

  • 3+ years of experience in payroll, accounting, or finance operations (startup or logistics experience preferred).

  • Proficiency with Gusto, QuickBooks Online, and Google Sheets/Excel.

  • Strong organizational skills with excellent attention to detail.

  • Ability to manage multiple workflows and meet deadlines in a fast-paced environment.

  • Clear communicator who can collaborate cross-functionally with HR, Legal, and Operations teams.

Preferred:

  • Experience with multi-entity or multi-state payroll.

  • Familiarity with logistics or trucking operations (e.g., driver reimbursements, variable pay structures).

  • Exposure to tools such as Rippling, Brex, and Carta.
