About The Role:

Nevoya is seeking an experienced and highly organized Executive & Personal Assistant to support three co-founders and one senior leader in a fast-paced, high-growth environment. This role combines traditional executive support with personal assistant responsibilities and will play a key role in helping our leadership team stay focused, prepared, and effective across both professional and personal priorities.

You will manage complex calendars, prepare materials for investor meetings, and coordinate domestic and international travel. You will also provide trusted support with a range of personal and logistical needs that help keep day-to-day life running smoothly.

We are looking for someone who is polished, proactive, and calm under pressure. You should be comfortable navigating ambiguity, creating structure, and earning the trust of busy founders. This role will report directly to our CEO and is required to work PST hours as well as extended hours when our founders are traveling abroad.

Responsibilities:

  • Manage complex calendars across multiple time zones, including booking and rescheduling recurring 1:1s, executive meetings, board prep sessions, and leadership offsites

  • Coordinate offsites including venue research, booking, scheduling, and handling last-minute adjustments

  • Research and book travel for executives, contractors, and candidates, including flights, hotels, car rentals, and visas

  • Support day-of travel logistics and adjust schedules based on geography, timing, or shifting meetings

  • Provide support with personal tasks and logistics to help keep life running smoothly for the executives

  • Draft, track, and manage documents such as NDAs, contracts, and insurance forms using tools like DocuSign

  • Assist with expense reporting, invoice follow-ups, and document completion

  • Find and reserve venues for investor and partner lunches or events

  • Book meeting rooms and coordinate logistics for in-person days across Nevoya sites

  • Build and maintain internal documentation in tools like Notion including checklists, workflows, and meeting records

  • Monitor executive inboxes and communication channels to surface priorities and support timely responses

  • Prepare materials for board meetings, document action items, and manage related follow-ups

  • Defend executive time and ensure alignment with the most important company priorities

Qualifications

  • 5 or more years of experience supporting multiple C-level executives in a fast-paced, high-growth environment

  • Proven ability to manage both business and personal logistics with professionalism, discretion, and efficiency

  • High proficiency with Slack, Google Workspace: including Gmail, Calendar, Docs, and Sheets

  • Experience using workflow tools such as Notion and DocuSign

  • Excellent organizational and time-management skills with strong attention to detail

  • Strong written and verbal communication skills

  • Ability to exercise discretion and sound judgment when handling sensitive information

Preferred

  • Experience coordinating international travel and handling visa documentation

  • Familiarity with board governance processes and materials

  • Prior experience in early-stage or startup operating environments

  • Comfort with shifting priorities and rolling up your sleeves to handle high-urgency needs
