As a Logistics Assistant, you will provide administrative support to the Logistics and Global Trade department and Kiwibot’s Business Leader, focusing on managing itineraries, hotel reservations, and logistical processes for the business leader. You will also support the logistics team on key projects related to expense control, financial analysis, and the creation of weekly, biweekly, and monthly budget flow reports, with the goal of meeting the department’s OKRs and KPIs.
The ideal candidate for this position is energetic, collaborative, organized, detail-oriented, and has strong communication and analytical skills. They should also have experience in administrative management, supporting different leaders across various sectors, and standing out for customer service and responsiveness. You will work in a constantly changing environment, so experience in fostering employee engagement through clear communication and managing complex, diverse requests is essential to Kiwibot’s long-term success.
Location: Bogotá – On-site.
A typical day as a Logistics Assistant might include:
- Comprehensive Travel and Itinerary Management: Coordinate and execute national and international travel plans for the Business Leader, including flights, ground transportation, hotel bookings, and travel insurance. Ensure a seamless experience by optimizing time, costs, and compliance with corporate travel policies. 
- Hotel and Transportation Reservations Administration: Supervise and confirm all lodging, local transport, and international mobility bookings, managing agreements with vendors (airlines, agencies, hotels, mobility platforms) to guarantee availability, preferential rates, and quality standards. 
- Budget and Expense Control for the Logistics Department: Support the Logistics Leader in reviewing and consolidating the department’s budget by monitoring expenses, reconciling invoices, and controlling costs associated with travel, housing, transportation, and logistics operations. 
- Financial and Management Reporting: Prepare and present weekly, monthly, and semiannual reports on expenses, projections, and logistics KPIs, contributing to strategic decision-making and ensuring compliance with the department’s OKRs. 
- Process Optimization and Documentation: Participate in the continuous improvement of travel, booking, and budget control processes by documenting procedures, identifying optimization opportunities.

- You have a technical or university degree, or you are in the final semesters of Business Administration or Finance. 
- You have 1 year of experience assisting leaders across different sectors. 
- You possess strong analytical, organizational, and quantitative skills. 
- You have excellent communication, attention to detail, organizational, and customer service abilities. 
- You are willing to work under pressure and in a collaborative environment. 
- You have experience working in fast-paced environments. 
- You are proficient in Google Suite (especially Google Sheets). 
- You are accustomed to working across different time zones. 
- You have knowledge of financial control platforms (dashboards). 
- You have intermediate english level B2/C1.
